Call for proposals: Multimedia services for the launch of Afrobarometer’s 2nd flagship report and other related events

About Afrobarometer 

Afrobarometer (AB) is a pan-African, nonpartisan, nonprofit research network that tracks political,  economic, and social conditions in Africa. Guided by the vision that African societies thrive when  African voices count in public policy and development, Afrobarometer provides high-quality data  and analysis on citizens’ evaluations and experiences of democratic governance and quality of life.  This data is provided as a public benefit and is freely available to policymakers, policy advocates,  civil society organisations, academics, news media, donors and investors, and ordinary Africans.  

Scope 

Afrobarometer is seeking the services of a multimedia agency (photography and videography) for  the following series of events at the Fiesta Royale Hotel in Accra:

Launch of the AB Flagship Report (8 July, 9:00am – 1:00pm) 

Afrobarometer public-attitude surveys have been tracking citizen engagement on the continent for  25 years. This year’s African Insights report, the second in an annual series on high-priority topics,  draws on data spanning the past decade, including the latest round of nationally representative  surveys in 39 countries, representing the views of more than three-fourths of the continent’s  population. The analysis focuses on key indicators of citizen engagement: Voting, political party  affiliation, political discussion, attending community meetings, joining with others to raise an issue,  contacting leaders, and protesting. 

The hybrid launch event will feature a presentation of the report’s key findings and a panel discussion  with researchers, policy actors, and civil society leaders. 

Key deliverables from the multimedia agency will include: 

  • Live streaming via Zoom 
  • Live streaming via YouTube 
  • Photo highlights of the event 
  • One 5-minute video highlight of the event 
  • About four testimonial videos from key stakeholders (90 secs each)

Africa Judicial Independence Fund Learning and Exchange Event (7 July; 9:00am to 5:00pm)

The Africa Judicial Independence Fund (AJIF), hosted by Afrobarometer, is committed to fostering  strong and independent judicial systems across the African continent. Since its official launch last  year, AJIF has partnered with various stakeholders, including judicial bodies, civil society  organisations, academia, and development partners, to promote best practices, enhance  capacity building, and address challenges related to judicial independence. 

This high-level convening of stakeholders is an opportunity to enhance learning, collaboration, and  knowledge sharing among AJIF partners. It will serve as a platform to review progress, exchange  experiences, and explore innovative approaches to advancing judicial independence on the continent. By bringing together diverse voices, the event aims to deepen partnerships and foster a  collective commitment to strengthening judicial systems. 

Key deliverables from the multimedia agency will include  

  • Live streaming via YouTube (9:00am-11:00am) 
  • Live streaming via Zoom (11:00am-5:00pm) 
  • Photo highlights of the event 
  • One 5-minute video highlight of the event 
  • About four spotlight videos of partners (120 secs each) 

Dinner in honour of Emeritus Board Chair (10 July, 6:00pm-10:00pm)

Afrobarometer will host a dinner in honour of its Emeritus Board Chair and co-founder. 

Key deliverables from the multimedia agency will include: 

  • Photo highlights of the event 
  • One 5-minute video highlight of the event 
  • Recording of the full event on a drive 

The contracted vendor will produce quality videos aligned to the brief and Afrobarometer’s brand  guidelines.  

Qualifications and experience of your agency and team  

  • Have a demonstrable number of years’ experience 
  • Possess capacity and equipment to provide live streaming services 
  • Demonstrate the requisite knowledge, skills, competencies and personnel needed to provide  the services. 
  • Any other relevant information can be provided  

Documents/Information to be included in proposal 

  • Link to company portfolio, including at least four examples each of past photo and video  productions 
  • Reference or recommendation letters from at least three clients 
  • Valid Practice Certifications or Licence of the organization 
  • Proposed breakdown of fees for the services 
  • Information on service provider’s ownership and diversity status (e.g., if you are a minority owned, women-owned, veteran-owned, disability-owned, or small enterprise). Please  provide relevant certification if applicable. 
  • A brief statement (e.g., one page) outlining service provider’s commitment to  environmental and social responsibility, addressing the points outlined in the ‘Supplier  Diversity and Sustainability’ section of this RFP.

  • Environmental Impact: Service providers are required to outline their strategies for minimising  environmental impact, such as energy efficiency, waste reduction, responsible resource  consumption, and use of sustainable materials or technologies in their photography and  videography services. 
  • Social Responsibility: Service providers are required to detail their commitment to ethical  labor practices, fair wages, safe working conditions, and respect for human rights within  their operations and supply chain. 

All proposals will be evaluated based on Afrobarometer’s standard procurement criteria, including  cost-effectiveness, quality, compliance with sustainability standards, and alignment with our  diversity objectives.
